Building a compliant contact list
By Inara Crest Engineering 1 min read
Collect consent clearly, record it, keep data accurate and honour opt-outs — a practical checklist for messaging lists.
A contact list is personal data. Building it properly protects the people on it and your organisation's reputation.
1. Ask clearly
Explain what messages people will receive and how often, at the point of collection.
2. Record consent
Store when, where and how consent was given, and the wording shown.
3. Separate purposes
Service messages and marketing messages need different justification. Do not assume consent for one covers the other.
4. Make opting out easy
Include instructions in every marketing message and process opt-outs promptly across all systems.
5. Keep data accurate
Update details when people tell you, and remove numbers and addresses that consistently fail.
6. Limit access and retention
Only staff who need the list should access it, and remove contacts who are no longer relevant.
