Laptop or desktop for office staff?
By Kennedy Ougo, Senior ICT Consultant 1 min read
Mobility, ergonomics, cost, security and lifespan point in different directions. Choose by role, not by habit.
Many organisations now buy laptops for everyone by default. That is often right, but not always.
When laptops make sense
Staff who attend meetings, travel, work from home or move between sites benefit from a laptop. Combined with a docking station, external monitor, keyboard and mouse, a laptop works well at a desk too.
When desktops make sense
Fixed workstations — reception, finance, call handling, design work — often get better value from desktops: more performance for the price, easier repairs and upgrades, and less risk of loss or theft.
Ergonomics
Using a laptop screen and keyboard all day causes neck and wrist strain. Budget for monitors and peripherals whichever you choose.
Security
Laptops are lost and stolen far more often. Encryption, strong sign-in and the ability to locate or wipe them are essential.
Lifespan and cost
Consider total cost over the device's life — including docks, accessories, warranty and support.
Standardise
Pick a small number of models for each role so setup, support and spares are simpler.
