Automating document processing with AI — keeping a human in the loop
By Micah Ondiwa, Senior Software Engineer 1 min read
AI can read invoices, forms and delivery notes in seconds. The design question is how people review the cases the model is unsure about.
Retyping information from documents into systems is slow and error-prone. Modern AI models can read invoices, claims, forms and delivery notes and extract the fields you need. The challenge is building a process you can trust.
How a well-designed pipeline works
- Documents arrive by email, upload or scanner.
- The model extracts the fields and gives each a confidence score.
- High-confidence results go straight through, with checks against business rules — does the supplier exist, does the total add up?
- Uncertain or rule-breaking documents go to a person, with the extracted values pre-filled for correction.
- Corrections are recorded to improve future accuracy.
Choose the first document type carefully
Start with a high-volume, fairly standard document such as supplier invoices. Avoid starting with the most varied or sensitive documents.
Keep an audit trail
Store the original document, the extracted values, who approved them and when. This matters for finance and for any personal data under the Data Protection Act, 2019.
Measure
Track time per document, the share processed without correction and the error rate after review.
