Asset tagging and inventory for ICT equipment
By Kennedy Ougo, Senior ICT Consultant 1 min read
Tag every device, record who has it, and track warranties, repairs and disposal — the foundation of support and security.
Ask most organisations how many laptops they own and who has them, and the answer is an estimate. An asset register turns it into a fact.
Tag every device
Fix a durable label with a unique asset number, ideally with a barcode or QR code, to every computer, monitor, phone, printer, switch and server.
Record the essentials
- Asset number, model and serial number.
- Assigned user and location.
- Purchase date, supplier and cost.
- Warranty and support expiry.
Keep it current
Update the register when devices are issued, moved, repaired, returned or disposed of. Make it part of onboarding and offboarding.
Audit periodically
Scan tags during a physical check and compare with the register. Investigate missing items promptly.
Use the information
The register supports budgeting for replacements, warranty claims, insurance, security investigations and software licensing.
Start simple
A well-maintained spreadsheet is better than an abandoned system. Move to dedicated asset software as the estate grows.
