Budgeting an ICT project
By Kennedy Ougo, Senior ICT Consultant 1 min read
Include equipment, labour, licences, training, contingency and running costs — not just the purchase price.
ICT budgets often cover the equipment and little else. The missing items appear later as overruns.
Capital costs
Equipment, software licences, installation materials and configuration work.
Building and site costs
Trunking, cabling routes, electrical works, cooling and civil works often fall outside the ICT quote but are essential.
Project costs
Project management, design, testing, data migration, training and documentation.
Transition costs
Running old and new systems in parallel, temporary connectivity, overtime for cut-overs.
Running costs
Subscriptions, support contracts, connectivity, power and maintenance for the life of the system.
Contingency
Set aside a contingency proportionate to uncertainty — larger where building works or integrations are involved.
Track and report
Compare committed and actual spending with the budget at regular intervals and report variances early.
