Practical AI features worth adding to business software

By Micah Ondiwa, Senior Software Engineer 1 min read

The most useful AI features remove repetitive work inside existing workflows — reading documents, finding information and flagging exceptions.

AI is most valuable in business software when it disappears into an existing workflow: a task that took ten minutes takes one, and a person still makes the decision.

Features that usually pay off

  • **Document reading:** extracting fields from invoices, delivery notes or forms, with a person confirming anything the model is unsure about.
  • **Search across records:** letting staff ask a question in plain language and get the relevant policy, contract or ticket.
  • **Drafting:** first drafts of replies, summaries or reports that a person edits.
  • **Classification and routing:** sorting incoming requests to the right team.
  • **Anomaly flags:** highlighting transactions or readings that look unusual.

Design for the cases AI gets wrong

Show the source behind every answer, make it easy to correct the output, and log corrections so the feature can be improved. Never let an AI feature take an irreversible action — a payment, a deletion, a message to a customer — without a person approving it.

Protect the data

Decide which data may be sent to an AI model, where it is processed and how long it is kept. For personal data, check the requirements of the Data Protection Act, 2019 before you build.

Measure the effect

Pick one measure before you start — time per document, response time, error rate — and compare after launch. If it does not move, the feature is decoration.
