Printers and print management for offices
By Kennedy Ougo, Senior ICT Consultant 1 min read
Fewer, shared, managed printers reduce costs, support work and the risk of confidential documents left on trays.
Printing is one of the most overlooked costs in many offices: a mix of desktop printers, each with its own consumables, faults and drivers.
Consolidate
A few well-placed multifunction devices — print, scan, copy — usually replace many small printers at a lower cost per page and with less support effort.
Choose by volume
Match devices to the monthly print volume and the type of work: colour, large formats, high-volume reports.
Manage centrally
Network printers with management tools show usage, toner levels and faults in one place, so supplies are ordered before they run out.
Secure printing
With "pull printing", jobs are released only when the user authenticates at the device. Confidential documents no longer sit on trays, and abandoned jobs are not printed at all.
Scan to digital
Scanning directly to email or shared folders reduces copying and supports digital workflows.
Consider total cost
Compare purchase price, consumables, servicing and energy over the device's life — or consider a managed print agreement.
